The Society For Advanced Research In Plant Science (SARPS) is registered & recognised by Govt. Of India, Madhya Pradesh in October 2023, Registration No. (01/07/01/40175/23). Our purpose is to provide opportunities for research & academic profile enhancement in the field of plant science & related fields along with lifescience too.

Currently, SARPS include participation with both industrial & academic backgrounds. The physical, chemical, biochemical and organic residences of elements from plant sources are mostly covered under the scope of SARPS.

It is my great pleasure to welcome you to the Society for Advanced Research in Plant Science (SARPS), a Government of Madhya Pradesh registered and recognised academic society, committed to excellence, integrity, and innovation in plant science research. SARPS was founded with a clear vision—to create an inclusive and forward-looking scientific community where ideas, knowledge, and research converge to address contemporary challenges in agriculture, environment, health, and sustainability. In an era of rapid scientific advancement, the role of plant science has become increasingly vital, not only for ecological balance but also for human well-being and sustainable development.

1. INTRODUCTION

The Society for Advanced Research in Plant Science (SARPS) is a professional & scientific organization dedicated to promoting advance plant science research, sustainable agriculture, and biodiversity, conservation. This document outlines the policies governing the society’s operations, membership, ethical guidelines, and governance structure,etc

2. ORGANIZATIONAL STRUCTURE & GOVERNANCE

  • Advancement of research and education in plant sciences.
  • Promotion of sustainable agricultural practices.
  • Conservation of biodiversity and ecosystem balance.
  • Knowledge dissemination through conferences, workshops, and publications & vice - versa.

  • Student Membership- For undergraduate and postgraduate students in plant sciences.
  • Professional Membership- For researchers, academicians, and industry professionals.
  • Corporate Membership- For organizations and industries contributing to plant sciences.
  • Lifetime Membership- A one-time membership for long-term association.

  • President- Chief executive, responsible for overall management.
  • Vice President- Assists the President and oversees strategic initiatives.
  • Secretary- Manages documentation, records, and communications.
  • Deputy Secretary- Assist the President & Secretary in all strategic initiatives.
  • Treasurer- Handles financial matters and maintains financial transparency.
  • Advisory Board- Composed of senior experts providing strategic direction.
  • 3. MEMBERSHIP GUIDELINE-

  • Applicants must submit a formal application along with required documentation.
  • Membership fees must be paid as per the society's fee structure.

  • Uphold ethical research and professional conduct.
  • Maintain respect and inclusivity in all society-related activities.
  • Avoid conflicts of interest, misrepresentation, or unethical behavior.

  • Violation of society policies.
  • Non-payment of dues for 06 consecutive months.
  • Engagement in research misconduct or fraudulent activities.
  • 4. RESEARCH & ETHICAL GUIDELINES-

  • All research must comply with international and national ethical standards.
  • Researchers must ensure transparency, reproducibility, and responsible use of resources.
  • Members retain intellectual property rights but must acknowledge SARPS support in publications.
  • Any research funded by SARPS must credit the organization appropriately.
  • Any act of plagiarism, falsification of data, or misrepresentation will lead to immediate disciplinary action.
  • 5. AWARDS, GRANTS & SCHOLARSHIPS

    5.1 Eligibility & Selection- Awards and grants shall be based on merit and impact in the field of plant sciences

    5.2 Cancellation & Refund Policies- If an awardee is found to have misrepresented information, the award shall be revoked, and any financial benefits refunded within 01 year.

    6. CONFERENCES, WORKSHOPS & PUBLICATIONS

    6.1 Event Organization - SARPS shall conduct annual or multiple scientific events to promote knowledge exchange.

    6.2 Paper Submission & Peer Review - All submissions shall undergo a strict double blind peer-review process to ensure scientific integrity.

    7 FINANCIAL & FUNDING POLICIES-

    7.1 Sources of Funding - The society generates revenue through membership fees, sponsorships, and research grants & scientific events from time to time.

    7.2 Financial Transparency - An annual financial report shall be made publicly available.

    8. COLLABORATION & PARTNERSHIPS

    8.1 Guidelines for Collaboration – SARPS encourages partnerships with academic and research institutions for joint projects.

    9 ENVIRONMENTAL & SOCIAL RESPONSIBILITY

    9.1 Commitment to Sustainability - The society shall actively promote eco-friendly research and conservation efforts.

    9.2 Community Engagement - Awareness programs on plant sciences shall be conducted regularly.

    10 COMPLAINT & DISPUTE RESOLUTION

  • Ethical violations and conflicts must be reported to the Ethics Committee for review.
  • Actions shall range from warnings to permanent membership termination, depending on the severity of the violation.
  • 11 AMENDMENT & POLICY REVIEW

  • Modifications to Policies - The policy document shall be reviewed every 15 years.
  • Any amendments require Presidents & Advisory Board approval.
  • OFFICIAL ENDORSEMENT - This policy document has been reviewed and approved by the governing body of the Society for Advanced Research in Plant Science (SARPS).
  • Refund Policy has been reviewed and approved by the governing body of the SARPS Society

    Refund Policies

    1. GENERAL POLICY-

  • This Refund Policy outlines the conditions under which refunds may be issued for membership fees, event registrations, awards, grants, and other payments made to the SARPS.
  • All refund requests must be submitted in writing to [Society’s Official Email/Address] and will be processed in compliance with the terms outlined.
  • 2. MEMBERSHIP FEES

  • Non-Refundable: Membership fees are strictly non-refundable under any circumstances, including voluntary withdrawal, membership suspension, or termination due to policy violations.
  • Transfer Requests: Membership fees are non-transferable to another individual or entity.
  • Double Payment Errors: If a duplicate payment is made, a refund request must be submitted within 7 days of the transaction, along with proof of payment
  • 3. EVENT REGISTRATIONS (CONFERENCES, WORKSHOPS, SEMINARS, WEBINARS, AWARD CEREMONIES)

  • Before 30 days of the event: 75% refund of the registration fee.
  • Between 15-30 days of the event: 50% refund.
  • Less than 15 days before the event: No refund will be provided.
  • If an event is canceled due to unforeseen circumstances, a full refund will be processed within 06 months to a maximum of 01 year or an option to transfer the fee to a future event will be provided
  • The society will not be liable for additional expenses such as travel, accommodation, or bank transaction charges
  • 4. AWARDS, GRANTS & SCHOLARSHIPS

  • If an awardee is found to have provided false information, the award will be immediately revoked, and the recipient must return any monetary benefits within 15 days of notification.
  • Failure to comply will result in legal action and permanent disqualification from future grants.
  • If a grant recipient fails to complete the project for which the funds were awarded, they must refund 100% of the amount received unless a valid reason (medical emergency, force majeure) is provided.
  • If an applicant withdraws voluntarily before the official grant or award decision is announced, a 50% refund of any processing fees will be provided.
  • 5. PUBLICATIONS & SUBMISSIONS

  • Non-refundable once the manuscript has been submitted for review.
  • If a manuscript is withdrawn before peer review begins, a 50% refund may be issued upon formal request.
  • 6. SPONSORSHIPS & DONATIONS –

  • Non-refundable: All sponsorships and donations made to PSS are final and non-refundable.
  • 7. REFUND PROCESSING TIMELINE

  • Approved refunds will be processed within 30 business days after submission of a formal refund request.
  • Refunds will be issued via the original payment method (bank transfer, credit card, etc.).
  • Processing fees and administrative charges may be deducted from the refund amount.
  • 8. NON-COMPLIANCE & PENALTIES

  • Any individual or entity failing to return funds as per the policy will face legal consequences, including financial penalties and reporting to regulatory bodies.
  • Future participation in society activities, memberships, and funding opportunities will be permanently revoked for violators
  • Refund Policy has been reviewed and approved by the governing body of the SARPS Society
